Privacy Notice for Candidates

1. Who is responsible
PropTech Partners SA ("Neho", "we"), Rue du Grand-Pré 2A, 1007 Lausanne, Switzerland is the controller for the personal data you provide when you apply for a role with us.
This notice applies to recruitment only. Our general privacy policy for users of our websites and platforms is available at neho.ch and strike-advisory.ch
As we value your privacy, any personal data processing is made strictly in accordance with applicable data protection laws, including the Swiss Data Protection Act of 1 September 2023 ("DPA") and, to the extent relevant, the EU General Data Protection Regulation ("GDPR") of 25 May 2018 .
2. What data we process
We collect any data you provide to us when applying to Neho, such as, but not limited to, via our application form or other digital channels. Your data is collected and processed when you contact us by email, by phone or by post.
We collect the following data necessary for reviewing your application :
Identity and contact details: name, address, email, phone
Personal characteristics: your date of birth, gender, nationality, marital status, ID documents information
Application documents: CV, cover letter, certificates, diplomas, portfolio or code samples, answers to screening questions
Professional information: work history, education, qualifications, language skills, references you provide
Assessment data: notes, interview summaries, scorecards, results of any tests or case studies
Process data: the role you applied for, the source of your application, correspondence with us, status of your application
Work authorisation information where relevant to the role
Please do not send us data we have not asked for. It is prohibited to transmit particularly sensitive personal data to Neho. This includes, among other things, data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, as well as health data.
Providing this data is not a legal obligation, but some of this information is necessary to assess your application; without it, we may not be able to consider you for the role.
3. Why we process it and on what legal basis
We use the personal data we collect to enable you to use our career’s services or products, to submit your application and take part from the recruitment process, to fulfill our contractual or statutory obligations as well as in the context of our legitimate interests in accordance with the applicable law or for the purpose expressly stated at the time of collection.
More specifically, we collect your data to satisfy the following purposes: assess your application, communicate with you, answer your questions, conduct interviews, make hiring decisions, develop and maintain our relation with you, inform you of any update and changes to our offers, prevent fraud and abuse.
4. Recording and processing of telephone or video calls
By submitting your application and providing your telephone number, you agree to be contacted by telephone by Neho. When you contact Neho or are contacted by Neho , certain personal data may be processed, such as the telephone number, the date and time of the call, its duration, as well as the content of the conversation (audio recording) and the information communicated by the user during the call.
Incoming and outgoing calls between Neho and the telephone number(s) provided by you may be recorded. We inform you of this practice at the beginning of the call and ask for your explicit authorization. You have the right to refuse the recording of the call. Such data is processed for the purposes of recruitment file management and follow-up, candidate relationship management and support, training, quality assurance, as well as the improvement and development of services and technologies, in particular in the field of artificial intelligence.
The recordings are accessible only to authorised persons and are retained for a limited period of time proportionate to the purposes pursued, and are then deleted or anonymised, unless otherwise required by law. The user has the rights provided for by applicable legislation, in accordance with the terms described in this Privacy Policy.
4. Use of AI tools
We use artificial intelligence (AI)-supported tools in parts of our recruitment process — for example to structure and summarise application content, to draft and translate content, and to prepare interview materials.
We take steps to limit the identifying nature of the data shared with these tools, for example by removing name and contact details.
The output from AI systems is not used for automated decision-making in individual cases. No rejection, shortlisting or hiring decision is taken automatically or based solely on an AI output. Every assessment and every decision is made by a person at Neho. You are not subject to automated individual decision-making within the meaning of Art. 22 GDPR.
5. Who has access to your data
The hiring team for the role you applied for, our recruiting team, and the relevant managers
Service providers acting on our instructions, in particular our applicant tracking system and our cloud and communication tools. These providers are bound by data processing agreements and may only process your data for us and on our instructions.
We do not sell your data and do not share it with third parties for their own purposes.
Transfers abroad. The servers we use are located in Switzerland or the European Union. In limited cases (e.g. technical support tools), your data may be processed in countries outside the EEA, including the United States. Where this occurs, we ensure appropriate safeguards are in place, such as the European Commission's Standard Contractual Clauses in the version recognised by the FDPIC
6. How long we keep your data
If you are not hired: we keep your data for a limited period after the end of the recruitment process, generally around 12 months, so that we can answer follow-up questions, contact you about a similar role, or respond to potential claims.
If you applied to a specific talent pool posting: we keep your data for a limited period based on the consent you gave when applying. You can withdraw that consent at any time.
If you are hired: your application data becomes part of your employee file and is governed by our employee privacy notice.
You can ask us to delete your data earlier at any time.
8. Your rights
You have the right to:
access the personal data we hold about you
rectify inaccurate or incomplete data
erase your data
restrict or object to our processing, including processing based on our legitimate interest
receive your data in a portable format (data portability)
withdraw your consent where processing is based on consent, with effect for the future
lodge a complaint with a data protection supervisory authority — in Switzerland the Federal Data Protection and Information Commissioner (FDPIC), in the EU/EEA the authority of your country of residence
To exercise these rights, contact us using the details in section 10. We will respond within one month. If you think we have handled your data incorrectly, we would appreciate the chance to resolve it with you first.
9. Changes to this notice
We reserve the right to modify this Privacy Policy, as needed, at any time.
